How CallBack Engine works
From an incoming inquiry to a clear next step.
CallBack Engine follows up on supported inquiries, gathers the details your team needs, and moves qualified opportunities toward scheduling or a team handoff.
An inquiry comes in.
A missed call, website form, inbound email, or referral enters the response path configured during setup. Leads from ads or other sources can be added if we set them up together during onboarding.
Follow up through the approved channel.
The configured process starts follow-up without leaving the inquiry for your team to pick up from scratch. Contact depends on the source, consent, and approved setup. CallBack Engine is not a live answering service and does not guarantee a response time.
Gather the job details.
Collect the request, location, contact details, and timing needed to understand the work. Use information already supplied rather than asking the customer to start again.
Check the fit.
Compare the request with your approved service area, work types, and qualification rules. A qualified inquiry is not a guaranteed booking or a final job decision.
Move to scheduling or your team.
With Manual Scheduling, your office reviews availability and confirms the appointment. You can use Manual Scheduling, or optional Google Calendar booking when connected, configured, and tested. Your team keeps control of dispatch and the final decision. A handoff is not a confirmed appointment.
Keep a clear record.
The source, status, messages, and outcome stay with the inquiry so your team can see what happened and what needs attention.
What managed means
We configure the service around your lead sources, service area, questions, and scheduling approach. Automated follow-up gathers the details your team needs and helps qualified inquiries reach scheduling or a handoff. We review setup with you before launch, then operate and monitor the approved process.
Built for HVAC, plumbing, electrical and roofing.
