How the assessment works
What does your readiness score mean?
The Lead Response Assessment is a practical framework for reviewing the process you describe. It highlights where missed calls and website inquiries may stall. It does not inspect your systems or verify your answers.
Which parts of the process are scored?
Each answer maps to a fixed rubric. Each applicable category receives a score from 0 to 100. These are the base weights used in the overall result:
- Missed-call recovery: 20%
60% handling process and 40% response timing.
- After-hours handling: 15%
55% handling process and 45% qualification and handoff process.
- Website inquiry response: 15%
55% handling process and 45% response timing. Excluded when you do not receive website inquiries.
- Ownership and backup: 15%
55% designated owner and 45% backup process.
- Qualification consistency: 15%
70% consistency and 30% detail coverage. Coverage reaches its maximum at five selected detail areas out of the six offered.
- Follow-through: 10%
Your stated follow-up practice, from no further attempt to a defined sequence.
- Outcome visibility: 10%
How consistently you can see what happened to an inquiry.
How is the total calculated?
For each applicable category, its unrounded score is multiplied by its base weight and divided by the sum of applicable weights. Each contribution is rounded to two decimal places. The contributions are added, then rounded to the nearest whole number for the overall score. Displayed category scores are rounded separately.
What happens when a channel does not apply?
Selecting that you do not receive website inquiries excludes that category and its 15% weight. The remaining weights total 85, and the overall result is normalized across those categories. You are not penalized for that excluded channel. Other categories remain included; selecting no timing target does not exclude missed calls.
How are ratings and priorities chosen?
Scores of 85 or above are labeled Well-defined; 70 to 84, Mostly defined; 50 to 69, Some gaps; and below 50, Significant gaps. The two lowest applicable category scores identify the priority gaps. The highest identifies the strongest area. Ties are resolved by the larger base weight.
What does the score not tell you?
This is not a scientifically validated benchmark, an industry percentile, a measured response-time audit, or a prediction of appointments or revenue. The weights are CallBack Engine's practical review framework, not research-derived performance claims. A high score does not guarantee results, and a low score does not mean you need to buy our service.
Business size, paid lead use, and opportunity value provide context and may inform a separate internal service-fit review. They do not change this public readiness score.
Do I have to take it before we talk?
No. You can talk with us about your current lead flow, see how the service works, or take the optional assessment. Your result is a starting point for a conversation, not a purchasing requirement.
